This Privacy Policy explains: what personal information we collect, why we collect it, how you may access, update, export or delete it, and your rights under Québec law.

  1. Who we are

We are Mind. Soul. Purpose. Teambuilding (“we”, “us”, “our”), headquartered in the province of Quebec, Canada. We are responsible for the personal information collected on or through our website(s) mspteambuilding.ca, go.mspteambuilding.ca, clairehayek.com, go.clairehayek.com and related services. Our designated privacy contact is Claire Hayek, info@mspteambuilding.ca, 1-833-677-2825.

  1. Information we collect

We collect the following categories of personal information when you use our website(s) or related services:

  • Identifiers & contact details: name, email address, telephone number, postal address, company name.
  • Usage & device information: IP address, browser type, operating system, device identifiers, log data (pages visited, date/time, duration).
  • Location information: approximate location derived from IP address or device settings (only if you grant permission).
  • Cookies & tracking technologies: cookies, web beacons, pixels, local storage, similar technologies that may enable recognition, profiling or measurement.
  • Marketing & communications data: your preferences for receiving our communications, any interactions with our promotional emails or advertisements.

We collect this information directly from you (for example when you submit an inquiry form) and automatically as you use our website(s).

  1. Why we collect, how we use

We collect and use personal information for these purposes:

  • To provide, maintain and improve our services (e.g., responding to inquiry forms, managing bookings, delivering content).
  • To process transactions, send you confirmations, notifications or billing information.
  • To send you marketing communications about our services, events or promotions — only if you have given us your consent.
  • To analyze website performance, traffic trends, preferences and to customize your experience.
  • To comply with legal or regulatory obligations.

We only collect personal information that is necessary and proportionate to the legitimate purpose.

  1. Cookies & similar technologies

We use cookies and similar technologies that fall into these categories:

  • Strictly necessary cookies: required for core website(s) functionality (e.g., login, session, security). These are always enabled.
  • Performance/analytics cookies: used to analyze site traffic and usage.
  • Marketing/advertising cookies: used to track users across websites and show relevant ads.

When you first enter our website(s) you will be shown a cookie-banner allowing you to make an opt-in choice for performance/analytics and marketing cookies. Prior to your consent, no profiling or tracking that identifies you will be enabled. You may withdraw your consent at any time via [link to cookie settings]. If you disable cookies you may lose some website(s) functionality.

  1. Sharing and transferring your data

We do not sell your personal information. We share your information only in the following circumstances:

  • With service providers (e.g., web hosting, analytics, email marketing) who process data on our behalf under contract and who are required to maintain confidentiality and appropriate safeguards.
  • With third-party vendors/partners to the extent you have given consent (for example, advertising or remarketing vendors).
  • When required by law or for a legal investigation, court order, regulatory requirement, or to protect our rights, property or safety.

If your personal information is transferred outside Québec or Canada, we will ensure that it receives a level of protection comparable to that provided under Québec law, by means such as contract, standard clauses, or other safeguards. You have the right to request the details of the transfer.

  1. Your rights

Under the Québec Act and our practices, you have the following rights:

  • Access: You may request copies of your personal information we hold.
  • Correction: You may request we rectify any inaccurate, incomplete or outdated information.
  • Deletion (“right to be forgotten”): You may ask us to erase your personal data when no longer necessary for the purpose it was collected.
  • Data portability: You may request we provide your personal information in a structured, commonly used and machine-readable format, and you may request we transmit it to another organization.
  • Withdraw consent: You may withdraw any consent you gave for processing or sharing your personal information. This will not affect processing done prior to withdrawal.
  • Object to or restrict processing: For certain types of processing (e.g., profiling) you may object, and we will accommodate unless we have compelling legitimate grounds to continue.
  • Lodge a complaint: You may file a complaint with the Commission d’accès à l’information (CAI) in Québec.

To exercise any of these rights, contact our Privacy Officer (see Section 1). We will respond within the time-limit mandated by law (usually 30 days).

  1. Retention and destruction

We will retain your personal information only as long as necessary for the purposes for which it was collected, or as required by law. We have established retention schedules and destruction procedures to ensure secure deletion of personal data when it is no longer needed.

  1. Security

We have implemented appropriate technical and organizational safeguards to protect your personal information against unauthorized access, alteration, disclosure or destruction. These include SSL certificates, directory privacy, secure servers, internal policies, and staff training.

If we become aware of a confidentiality incident (“breach”) that poses a risk of serious injury to you, we will notify the CAI and affected individuals, in accordance with law.

  1. Privacy by default & design

We design our systems, products and services so that the highest level of confidentiality is the default setting — meaning you are not required to adjust or disable settings for your data to be protected.

  1. Changes to this policy

We may update this Privacy Policy from time to time. When we do, we will revise the “Last Updated” date at the top and publish the new version on our website(s). If changes are material (i.e., they affect how we handle your personal information), we will notify you (for example by email or website(s) banner).
